provide directly in those forms. Every submission is stored as one record in our
enquiry register (technically, the core_submissions table) against the
intake type it came from, so we always know exactly which form generated a given
enquiry.

If you attach supporting documents to a Get a System request, those files are held separately and classified according to our document-handling rules for that enquiry type, with access limited to authorised staff.
2. How We Use It
We use the information you submit to: respond to your enquiry or quote request; assign it to the right Business Development Officer; understand which of our services or products you are interested in; prepare and send a proposal where relevant; and improve our understanding of enquiry volumes and sources across the site. We do not use enquiry information for unrelated marketing without a separate, explicit opt-in.
3. Lawful Basis
We process this information because you have taken a clear action to contact us (submitting a form) and because it is necessary to take steps, at your request, before entering into a possible commercial engagement with us. Where we send you service or account related email, this is on the basis of our legitimate interest in responding to a request you initiated.
4. Retention
Enquiry records are retained so we can maintain a continuous history of our interactions with prospective and existing clients. A record is only removed from active view when an administrator explicitly marks it as removed in our system; until then it remains part of the enquiry register. Every view of, or change to, an enquiry record - including status movements, assignment and responses - is written to an internal audit trail that captures what changed, when, and by whom, so there is always a verifiable history of how your enquiry was handled.
5. Third Parties
We do not sell or rent personal information. Limited technical processors support the operation of this website and the handling of enquiries, including: our transactional email provider (to deliver acknowledgement and status emails), a spam-protection service that helps keep public forms free of automated abuse, and a document-generation service used to produce quote/requirements summaries for Get a System enquiries. Existing clients raising a support request are directed to our dedicated support portal rather than through the general enquiry forms.

You may ask us what personal information we hold about you, request that inaccurate information be corrected, or request that your information be removed from active records.
